Most comparison posts compare feature lists. That’s the wrong starting point, because a feature list tells you what a vendor built rather than what a buyer decides on.

So we worked backwards from the decision. These criteria are the ones that recur when fiduciary firms replace trust software, drawn from third-party review platforms (G2, Capterra, Software Advice), published buyer’s guides for trust and fiduciary software, real sales calls, and what the vendors themselves argue matters.

Estateably is a cloud-based estate, trust, and power-of-attorney administration platform serving over 1,000 firms across North America. Its center of gravity is document and court-form automation: more than 3,000 court-approved forms with one-click, jurisdiction-specific generation across U.S. and Canadian jurisdictions, plus fiduciary accounting, task management, and a document vault.

ProTrustee vs. Cheetah vs. Estateably: Who Is It Actually Built For?

Verdict: all three are genuine fiduciary specialists, but built for three different buyers, and that’s the most important distinction here.

None of them are generic accounting, CRM, or practice management platforms. They are all designed around a specific addressable market. The difference is the buyer’s operating and data models each focuses best on.

Cheetah was built for bank trust departments and its depth still reflects that: trading and settlement, asset pricing, AUM fee schedules, IRS file production.

Estateably was built around legal, probate and estate settlement practices. Per Capterra’s reviewer profile, 75% of its reviewers are law practices, and its strength is matter-and-filing work: probate, notices, court forms.

ProTrustee was built for professional fiduciaries and corporate trustees administering trusts on an ongoing basis, where the ledger, the workflow, the compliance record, and the billing all have to be the same system.

That’s the structural claim. When administration and accounting live in separate systems, a person becomes the integration layer, and in fiduciary work friction between applications doesn’t show up as a typo. It shows up in lost hours and increased risk.

ProTrustee vs. Cheetah vs. Estateably: Court Accountings, Statements, and Regulatory Reporting

Verdict: ProTrustee and Estateably both deliver, in different ways. Estateably leads on form volume and probate reports. ProTrustee leads on beneficiary reports that reconcile to the trust accounting data.

Estateably’s coverage is the broadest of the three: more than 3,000 court-approved forms across U.S. and Canadian jurisdictions, one-click location-specific generation, form updates as courts change requirements, and over 550,000 probate documents generated to date. If your work is heavily probate filing across many jurisdictions, that volume is ahead of ours.

ProTrustee takes a different approach. Statements generate directly from the accounting engine, and can be configured and sent to beneficiaries directly from the platform. Court accountings such as California’s GC-400 can be easily produced in the accounting engine as well. ProTrustee also assists its clients with state audits and required regulatory reporting.

Cheetah markets tax-form production and asset pricing, but no state court accounting or regulatory fiduciary reporting appeared on any public product page, and court reporting is absent from its own published list of what to look for in trust accounting software. That’s consistent with a bank trust department buyer, for whom court accountings are less central. It isn’t proof of absence, which is why we marked it unverified rather than missing. Ask them directly.

ProTrustee vs. Cheetah vs. Estateably: Custodian and Bank Data Aggregation

Verdict: ProTrustee and Cheetah pull multi-custodian and bank agnostic data. But at scale, ProTrustee comes out ahead.

ProTrustee pulls automated feeds from over 2,000 custodians and banks using multiple data aggregation partners, syncing positions and transactions daily to hourly. Some institutions, including certain treasury and prepaid programs, still require manual file import.

Cheetah has data aggregation capabilities, but the scale is not reported. They consolidate data feeds from various financial custodians to maintain accurate, up-to-date portfolio records through their Business Process Outsourcing services.

Estateably supports statement import and reconciliation, so external data can be brought in and matched, but no automated custodian feed network is described publicly. Its integration strategy points at the practice stack a law firm already runs where financial data is a monthly update, not daily.

ProTrustee vs. Cheetah vs. Estateably: Audit Trails, Approval Chains, and Compliance Tracking

Verdict: ProTrustee wins. It’s the only one of the three that publicly describes embedded compliance with automated approval chains and a full audit trail.

ProTrustee runs a Compliance Center with automated checks on every entity under management and configurable rules, backed by an audit trail preserving every action, across every record, by every user, with timestamps and context. Permission profiles enforce separation of duties by design, approval chains preserve decision-making integrity. These are valuable since audit-readiness is hard to retrofit once your operating model is defined.

Cheetah’s AI flags risk factors, compliance gaps, and missing provisions in documents, citing each finding to its exact location in the source. That is a genuine, named capability, and for reviewing an unfamiliar trust instrument it’s useful. But document-level flagging and a system-of-record audit history are different things, and only the former is described publicly.

Estateably frames compliance primarily as jurisdictional currency, keeping forms current as courts and regulators change requirements. That solves a real problem, and it solves it well. What its public materials don’t describe is a timestamped, user-attributed audit trail across records, or automated compliance checks at the entity level.

The distinction: keeping forms current protects you at filing time. An audit trail protects you when someone asks, a year later, who decided what and when.

ProTrustee vs. Cheetah vs. Estateably: Omnibus Cash and Multi-Entity Accounting

Verdict: Cheetah comes out on top, performing both omnibus cash and investment accounting, while ProTrustee does omnibus cash account and has a multi-entity general ledger.

ProTrustee runs true omnibus cash accounting, pooling cash while preserving full sub-account visibility, so every beneficiary’s slice is still traceable to a real ledger entry. That sits on top of a single general ledger that spans multiple entities, so a trust, an LLC, and related structures under one holding arrangement can be administered and reported on together, each with their own books and records and percentage ownerships.

Cheetah not only runs omnibus cash accounting, but also omnibus investment accounting. Pooling both cash and investment positions across accounts, rather than administering each one separately, which is the kind of structure institutional and bank trust departments tend to run at scale.

Estateably’s accounting is built around a single trust, estate, or matter at a time, consistent with its probate- and filing-led model, and no public materials describe pooled cash accounting or a consolidated multi-entity ledger.

If your firm runs related trusts, estate, LLCs, or other entities that need to reconcile against each other, this is one of the more concrete functional gaps between the three platforms and it’s a capability generic accounting tools and most fiduciary-adjacent platforms don’t attempt at all.

Verdict: ProTrustee wins outright. Neither competitor publicly documents any time-tracking capability.

Fiduciary billing is awkward for general-purpose tools. Every entry has to be tied to the right trust, the right client, and the right fee schedule, and many firms bill flat fees, AUM-based fees, and hourly time in the same month.

ProTrustee’s fee module supports flat and AUM-based schedules, monthly billing with minimums, and time tracking with multi-timer support and configurable rounding. Approved entries convert directly into customizable PDF invoices, and referral-fee schedules and payouts are supported.

Cheetah markets the ability to schedule and manage fees, which suits institutional AUM-based schedules well, but time-tracking capabilities could not be verified in its public materials.

Estateably supports percentage based fees on an account and tiered basis. But no timekeeping capabilities are found in its public materials.

If you bill hourly against individual matters, this section may decide your evaluation on its own. If you bill purely on asset-based schedules, it may not matter at all.

Verdict: ProTrustee and Estateably are both clearly modern and actively shipping. Cheetah’s architecture is better than its reputation, and we’re going to say so.

Being stuck on a legacy platform is one of the most common reasons firms start shopping at all, but the label gets thrown around loosely, so here’s our honest take.

Cheetah runs on AWS with end-to-end encryption, and states it was the first platform of its kind to be browser-based, use cloud computing, and offer a mobile application (it is the only platform in this list with a mobile application). Its published AI capabilities are substantial.

Estateably is cloud-based, with documented high uptime, and robust set of integrations. They have an ongoing release cycle and a regularly updated form database.

ProTrustee is cloud-native on AWS, browser-based, with no on-premise lineage to carry. Our AI capabilities are already live and being developed further.

Verdict: ProTrustee and Cheetah are both genuinely strong, with different scope. On document extraction specifically, published capability is neck-and-neck.

Cheetah’s AI Trust Document Analysis extracts key parties, beneficiaries, fiduciary roles, assets, dates, fee structures, and special provisions. It handles amendments intelligently, so overridden provisions are replaced automatically. It flags risk factors and compliance gaps, cites every finding with a traceable link to its exact location in the source, and processes text-based, image-based, and scanned PDFs. A separate Insights AI Query Builder turns plain-English requests into reviewable queries with CSV, Excel, and JSON export.

Where Cheetah’s AI Query Builder allows exportable formats for data, our ProTrustee Intelligence AI is currently read only; although increased generative AI capabilities is on the roadmap. Credit where it’s due.

ProTrustee’s AI extracts data from trust documents, auto-reconciles amendments, auto-generates trust summaries, and builds a searchable knowledge base. It also powers a chat assistant that answers plain-language questions grounded in your firm’s own data across documents, records, accounts, and tasks rather than documents alone. Ask whether you can take a distribution from a given trust and it reasons over that trust’s record. Its limits today: it is read-only and does not read accounting data.

Estateably markets “AI-driven automation” broadly, and its document engine is genuinely powerful at scale. But the mechanism evidenced publicly is rules and template-driven form generation rather than extraction from source documents or a grounded assistant, so we could not verify AI depth comparable to the other two.

Who Should Choose ProTrustee?

Choose ProTrustee if you’re a professional trustee, trust company, RIA, law firm, or family office administering trusts on an ongoing basis, and you want administration, accounting, compliance, and billing in one system rather than stitched together. Its 35-plus years in trust software and cloud-native infrastructure are real assets. It is the only one of the three that executes trades. Validate audit trails and compliance tracking features in reference calls first.

Who Should Choose Estateably?

Choose Estateably if your work is predominantly probate, estate, and power-of-attorney administration, especially across many jurisdictions or on both sides of the U.S. and Canadian border, and court-form volume is your primary requirement. Its 3,000-plus forms and 4.8/5 Capterra rating make it the lowest-friction choice for a law practice doing filing-heavy work. On the public evidence we could find, it’s the weakest of the three for ongoing institutional trust accounting and custodial data.

The Verdict

For the buyer this comparison is written for, professional trustees and trust companies administering trusts on an ongoing basis, ProTrustee comes out ahead. It wins outright on custodian aggregation, audit trail and compliance, and fiduciary time and billing, and it ties on fit, court reporting, architecture, and AI.

But the fit depends on the work. If your practice is high-volume probate filing across many jurisdictions, Estateably’s form library is broader than ours. If you’re a bank trust department that needs to execute trades through the trust accounting system, Cheetah is built for you and we aren’t.

Is Cheetah a legacy platform?

Not architecturally. Cheetah states it was built for the cloud rather than retrofitted, runs on AWS, and publishes current-generation AI features. If you’ve heard otherwise, test it in reference calls with current customers.

Does Estateably do trust accounting?

Yes, at a different depth. It tracks income, principal, capital gains, distributions, and linked trust activity with reconciliations and allocations. What it doesn’t offer publicly is automated custodian feeds, timekeeping, or a described audit trail.

Which one has the best AI?

Depends what you need. Cheetah’s document extraction is the most precisely documented, including citation to source location. ProTrustee’s is broader in scope, adding an assistant grounded in your whole tenant. Estateably’s is least verifiable.

Can ProTrustee write checks and produce California GC-400 accountings?

Yes to both. Check writing is live in the system, and GC-400 is shipped and generated directly from the trust ledger.

Do any of them let me trade?
